Version 2026-11-07 · in force from 7 November 2026
In short. The account is free. Copibar is not for sale yet: the portal takes no orders or payments and offers no downloads. The portal is for businesses. We do our best to keep it running, but we promise no availability. Estonian law applies.
1. Who we are and what these terms cover
my.copi.bar ("the portal") is run by XServer OÜ, registry code 17511911 (Estonian commercial register), VAT number EE102988554, Kaupmehe 7-120, 10114 Tallinn, Estonia, support@copi.bar ("we", "us").
These terms are an agreement between us and the person who creates an account ("you"). When you set up or join an organisation in the portal, you also accept these terms for that organisation, and "you" then includes it.
These terms cover the portal account only. They give you no licence to the Copibar software. Copibar is not for sale yet: no prices are published, the portal takes no orders or payments, and it offers no software downloads. When evaluation and purchase open, they will come with their own terms (a licence agreement and terms of sale), which you will be asked to accept separately. Our privacy notice explains how we handle personal data.
2. Who may use the portal
The portal is for businesses: companies, sole traders and the people who act for them. By creating an account you confirm that you are at least 18 years old and that you use the portal for a trade, business or profession. The portal is not meant for consumers. If the law gives you rights as a consumer anyway, these terms do not take them away.
We may refuse or close an account where sanctions or export-control law does not allow us to deal with you, your organisation, or your country or region.
3. What the account is for
- Writing to us and asking about Copibar.
- Opening and following support tickets.
- Setting up your organisation and managing who acts for it in the portal.
- Later, when we open them: evaluating Copibar, buying licences, downloading software and licence files, and seeing invoices.
We may add, change or remove features. Features that involve a licence or a payment will have their own terms.
4. Free, and without promises of availability
The account is free of charge, and we provide no paid service under these terms. We provide the portal as it is and when it is available. We do our best to keep it running and secure, but we do not promise that it will be available at any particular time, that it will be free of errors, or that it will stay in its current form. We may take it offline for maintenance or for security reasons without notice.
We answer support tickets and questions as soon as we reasonably can, but we promise no response time. We aim to answer questions about buying within one business day; that is a target, not a promise.
Nothing in the portal is an offer to sell. Prices, examples and estimates are not binding. Only a quote accepted under our terms of sale will be binding, once those terms exist.
The portal is not a storage service: keep your own copies of anything you send us.
5. How this agreement is made
- You fill in the sign-up form. Until you press "Create account", you can check and correct everything you typed.
- You tick the box to accept these terms. You can open, save and print them from the link next to the box.
- We send you an e-mail with a confirmation link straight away. That e-mail confirms that we received your sign-up.
- You open the link and enter your password again. The agreement is made at that moment.
You can make this agreement in English, Ukrainian or Russian. We keep the text of every version of these terms and a record of which version you accepted. Every version stays available at my.copi.bar/legal. To correct your details later, write to support@copi.bar. We do not follow any code of conduct.
6. Your account and its security
- Give correct details and keep them up to date. Use the real legal name of your organisation. Set up or join an organisation only if you may act for it.
- An account is for one person. Do not share your password or let others sign in as you. Use a strong password that you do not use elsewhere.
- Two-step sign-in with an authenticator app is optional for most members, and we recommend it. It is required for owners: an owner must turn it on within 14 days of becoming an owner. After those 14 days, until it is on, the owner cannot invite people, revoke invitations, change roles or remove members. Once those features open, the owner also cannot make payments or manage licences. While you are an owner and the 14 days are over, you cannot turn it off.
- If you lose your authenticator, write to support@copi.bar. We check that the request really comes from you before we reset anything, and this can take time.
- Tell us at once at security@copi.bar if you think someone else has access to your account.
- You are responsible for what is done through your account, unless it results from our breach of these terms.
7. Organisations, invitations and roles
- Each member of an organisation has one of four roles: Owner, Billing, Technical or Viewer.
- Owners manage the team, and will manage payments and licences once those open.
- Billing and Technical members can open and answer tickets for the organisation, and will get billing or technical functions once those open.
- Viewers can read but not write.
- Only owners can invite people, revoke invitations, change roles and remove members. Inviting asks for the owner's password again. An invitation works once and expires after 7 days.
- If you are an owner, you are responsible for who has access to your organisation. Invite only people who work for it or with it and who expect the invitation, give them the role they need, and remove people who should no longer have access. You confirm that you may give us their work e-mail addresses for this purpose.
- An organisation always keeps at least one owner. The last owner cannot leave or step down until another member is an owner.
- What members do in the portal for an organisation is done on behalf of that organisation. Every member can read the organisation's tickets.
- A member who leaves or is removed loses access. The organisation's records, such as its tickets, stay.
8. Acceptable use
Do not use the portal to:
- break the law or the rights of others;
- send malware, or files you know to be harmful;
- send spam, or use invitations or forms to contact people who did not ask for it;
- pretend to be another person or organisation, or set up an organisation that imitates another;
- probe, scan or test the security of the portal, get round its limits, or access data that is not yours (if you find a vulnerability, report it to security@copi.bar and stop there);
- sign up or send requests by automated means, or put an unreasonable load on the portal;
- send us personal data of your own customers or users, unless we have agreed in advance how it will be handled;
- act for a person or organisation that sanctions law does not allow us to deal with.
We may remove content that breaks these terms or the law. If we do, we tell you why, unless the law or security prevents it.
9. What you send us
You keep your rights in what you send us. You allow us to store, copy and use it as far as needed to run the portal, answer you and keep the records described in our privacy notice. You confirm that you may send it to us. If you send us suggestions, we may use them freely.
The portal, its content and the Copibar name belong to us. These terms give you no rights in them beyond using the portal.
10. Suspension and closure
- You can close your account at any time by writing to support@copi.bar. To have your personal data deleted, write to privacy@copi.bar. If you are the only owner of an organisation, first make another member an owner, or ask us to close the organisation.
- We may suspend or restrict an account at once where this is needed to protect the portal, other users or us. Examples are a suspected compromise, a serious or repeated breach of these terms, or a legal requirement. We tell you why, unless the law or security prevents it, and we restore access once the reason has gone.
- We may close an account with 30 days' notice by e-mail. We may close it at once for a serious breach of these terms or where the law requires it. An account that has not been used for 36 months is closed as described in the privacy notice.
- We may close the portal altogether with 30 days' notice.
- After closure we keep only what our privacy notice says we keep. Sections 9, 11, 13 and 14 continue to apply.
11. Liability
- Because the account is free, our liability under these terms is limited as follows, as far as the law allows.
- We are not liable for loss of profit, revenue, business or data, or for indirect loss.
- Our total liability for all claims arising from the portal and these terms is limited to EUR 100.
- These limits do not apply to damage we cause intentionally or through gross negligence, to death or personal injury, or to any liability that the law does not allow to be limited or excluded.
- You are liable to us under the law for damage caused by your breach of these terms.
12. Changes to these terms
We may change these terms:
- when we add or change features, for example when evaluation and purchase open;
- when the law or guidance from authorities changes;
- for security reasons;
- to correct mistakes;
- when another company takes over the portal (section 13).
We tell you by e-mail at least 30 days before a change applies, and we show it in the portal. If you do not agree, you can close your account before the change applies. If you keep using the portal after that date, the changed terms apply; we may ask you to accept them when you next sign in. Changes that only correct mistakes or make the terms clearer, without reducing your rights, may apply at once. Every version stays available at my.copi.bar/legal.
13. Transfer
We may transfer this agreement to another company that takes over the portal or the Copibar business. We tell you at least 30 days before; if you do not agree, you can close your account. You may not transfer your account without our consent.
14. Law and courts
Estonian law governs these terms and any dispute about them. Disputes go to Harju County Court (Harju Maakohus) in Tallinn. We may also bring a claim before the courts where you or your organisation are established. Rights that the law of your country does not allow to be excluded are not affected.
15. Other
If a provision of these terms is invalid, the rest stays in force. These terms are also available in Ukrainian and Russian; if they differ, the English version applies.
